Adminstrative Assistant, Document Control (Job No. OF-012)

 

Job Description:

 

1. Perform various routine office work, such as distribution, filing, faxing, and scanning of electronic files, letters,

documents, reports drawings, and shipping  

2. Review and route correspondence to appropriate personnel  

3. Compose and generate routine correspondence to customer/supplier based on instructions

4. Process Record Drawings for submittal to the customers/supplier

5. Prepare and maintain a variety of reports, procedures, list, charts schedules, exhibits, etc.

6. Create and maintain routine spreadsheets or databases on various systems/activities

7. Review requested correspondence for clerical completeness and accuracy

8. Enter correspondence information in the database accurately

9. Maintain records and data for accuracy, including periodic auditing of the database

10. Investigate discrepancies in reports and records and confer wit the personnel for resolution

11. Perform other tasks as delegated by department management  

 

 

Qualifications:

1. Associates or Bachelors degree in related field

2. Three (3) years work experience in an office administrative or similar capacity preferred  

3. A high degree of competence with Windows Office products (Especially with Word, and Excel)    

4. Familiarity in Filemaker Pro and SAP, a plus

5. Must have good typing skills

6. Excellent organizational and communication skills, both written and verbal

7. Must be detail oriented and be able to multi-task and set priorities in a fast-paced work environment

8. Must be able to work independently
